NSF reports and no cost extensions

Dear Research Administrators,

Two business matters to share with our campus community for National Science Foundation (NSF) award recipients.

1. Reports
Kindly remind NSF supported PIs that Annual, Final and Project Outcomes Reports are vital and required components of award compliance. These reports also provide NSF program officers and administrative offices with information on the progress of supported projects and the way these funds are used. In this time it is even more important that reports are submitted on or before the due date. It is strongly recommended that reports be sent as soon as practicable and under no circumstances should reports become overdue. Overdue reports will delay pending NSF actions for proposals and awards related to the PI and co-PIs.

2. No Cost Extension
Please review your current portfolio of awards and discuss with PI(s) to determine if active projects will close-out at the established end date. 

As you are aware, Brown (OSP or BMRA ) may authorize a one-time extension of the end date of the grant of up to 12 months if additional time beyond the established end date is required to assure adequate completion of the original scope of work within the funds already made available. This one-time extension may not be exercised merely for the purpose of using the unliquidated balances. Recipients are not authorized to extend an award that contains a zero balance.

Brown is required to notify NSF, providing supporting reasons for the extension and the revised period of performance, at least ten calendar days prior to the end date specified in the grant to ensure accuracy of NSF’s grant data. All grantee-approved extension notifications must be signed and submitted by the Authorized Organizational Representative at OSP or BMRA via Research.gov. We are encouraging a proactive approach to management of active awards, including submission of the No Cost Extension request as soon as it is determined to be necessary for successful project management. Note that this guidance applies to all federal sponsors, but we are highlighting NSF today. Please reach out to your contacts at Sponsored Projects or BMRA with any questions.
