Workday Grant roles access change with Huron Grants

With the arrival of the new Huron Grants system in December 2024, there will be a change to Workday grant roles’ access. When Huron Grants goes live on Dec. 9, Grant Manager and Grant Financial Analysts will have access only to awards in cost centers where they hold one of these grant roles.

In the past, Grant Managers and Grant Financial Analysts, with parent account access could see all related child accounts in Workday. You will now only have access to award information for cost centers that you hold a grant role in. All grant roles will now be assigned by the cost center only in Workday, not by individual grant accounts. 

Should you need access to manage or view award items in another cost center (where you do not have a grant role), you may wish to either: 

  • collaborate with their Grant Manager(s) 
  • or request access to view their cost center as a Grant Financial Analyst. If you need to approve transactions in another cost center, you will need to request a Grant Manager role in that cost center. 

Please keep in mind that you cannot hold dual grant roles in a single cost center- choose either Grant Manager (approve transactions) or Grant Financial Analyst (view transactions). 

Any cost center you request access to, you will see all award transactions related to that cost center. If you are an approver, you will receive all approval notifications to approve transactions in that cost center. This is why you may want to coordinate with a Grant Manager in another cost center instead of requesting an actual grant role in that cost center. 

We understand that each department will devise their own business process around this change, and we wanted to inform you of the grant role access changes in advance. As a reminder, all Workday Grant Roles require submission of a ‘Workday- Grant Roles’ ticket.
